Automatic Research and Prep Brief 15 Minutes Before Every Meeting

Walking into a meeting unprepared is a common problem with a simple cause: good prep takes 15–30 minutes of research, and nobody has time to do it for every meeting. The Meeting Prep Assistant solves this by running automatically, detecting meetings on your calendar, researching every attendee and their company, pulling CRM context, and delivering a structured brief to Telegram 15 minutes before the meeting starts.

What It Does

This workflow runs every 5 minutes, monitoring your calendar for upcoming meetings:

1. Meeting Detection: Checks your Google Calendar for any meetings starting within the next 15 minutes (configurable window). Skips internal-only meetings, focus time, lunch, and other excluded event types. Skips meetings shorter than 15 minutes.

2. Attendee Research: For each external attendee, runs three targeted web searches:

• Person's name + company on LinkedIn (role, background, recent activity)
• Company news from the last 90 days (fundraising, product launches, leadership changes)
• Company funding announcements and growth signals

3. CRM Context Lookup: Pulls the contact and deal record from your configured CRM (HubSpot, Salesforce, or Pipedrive): deal stage, deal value, last activity, previous meeting notes, and relationship history.

4. Brief Generation: Claude synthesizes all research into a structured prep brief:

• Meeting context: what this meeting is for, who's attending
• Attendee profiles: role, background, and any recent activity worth mentioning
• Company context: size, stage, recent news, any signals relevant to your conversation
• CRM summary: where the relationship stands, deal stage, last touchpoint
• Talking points: 2–3 specific conversation starters based on research
• Key question: one high-value question to ask based on the research

5. Delivery: The brief is sent to Telegram (or Slack) 15 minutes before the meeting. You receive it on your phone even if you're away from your desk.

Sales reps, founders, account managers, executives — anyone who has external meetings with people they don't already know well. Most impactful when you have 3+ external meetings per week. Setup Steps

1. Install the workflow — copy meeting-prep-assistant.yml into your OpenClaw workspace
2. Connect Google Calendar — authorize via the Calendar skill
3. Connect your CRM (optional) — set crm_provider to your CRM and authorize in OpenClaw settings
4. Configure delivery — set delivery_channel to telegram or slack
5. Customize exclusions — add any recurring meeting titles you want skipped (e.g., "Weekly Team Sync")
6. Register the cron — openclaw cron add meeting-prep-assistant.yml
7. Test it — create a test calendar event 20 minutes from now with a real attendee; you should receive the brief in Telegram within 5 minutes of the workflow's next run

Reading the Brief

The brief is designed to be readable in 2 minutes. You scan it on your phone between meetings. The structure is consistent so you know where to find what: attendee profiles at the top, CRM context in the middle, talking points and key question at the bottom.

Good manual meeting prep takes 15–30 minutes per meeting: LinkedIn, Google News, CRM lookup, synthesizing it into coherent notes. For someone with 5 external meetings per week, that's 75–150 minutes per week of prep work.
